3. Distinction Between Website Information and Health Information

This Privacy Policy covers two distinct categories of information, each held in different systems and subject to different safeguards:

a) Website Information

Information you provide through this Website (such as your name, email, phone number, and the contents of any inquiry form submission) is collected, stored, and processed under PIPEDA and Alberta’s PIPA. This information is held in WordPress, hosted by Hostinger International Ltd., and is used only to respond to your inquiry and provide the information you request.

b) Personal Health Information (PHI)

Personal health information you provide in the course of receiving massage therapy treatment — including intake forms, treatment records, assessment notes, and billing details — is collected and stored separately in our practice-management system, Jane App (Jane Software Inc., Vancouver, Canada). PHI is governed by Alberta’s PIPA and the confidentiality requirements of the NHPC Code of Ethics, and is held to a standard consistent with the principles of Alberta’s Health Information Act.

We do not store any personal health information on rummelrmt.com.

4. Information We Collect Through the Website

4.1 Information You Voluntarily Provide

When you submit our contact or inquiry form, we collect:

  • The nature of your inquiry (selected from a dropdown menu)

Providing this information is voluntary. Without it, we may not be able to respond to your inquiry or schedule an appointment.

6.1 Service Providers

We share information with carefully selected service providers who perform functions on our behalf, including:

  • Hostinger International Ltd. — our website hosting provider.
  • Jane Software Inc. (“Jane App”) — our practice-management and scheduling platform, which stores client records, intake forms, and billing information under industry-standard safeguards.
  • Google LLC — for font delivery through Google Fonts. Google Fonts is configured not to set cookies or track users. We may, in the future, also use Google Analytics — see Section 4.3.

These service providers are contractually required to safeguard your information and may only use it to perform services on our behalf.

6.2 Legal and Professional Requirements

We may disclose personal information when required by law, including in response to a court order, subpoena, regulatory investigation, or to comply with the Code of Ethics and Standards of Practice of the Natural Health Practitioners of Canada (NHPC).

6.3 With Your Consent

We may share your information with other parties if you have given us your express consent to do so.

7. International Transfers

Some of our service providers operate servers located outside of Canada. Specifically, Jane App’s servers are located in Canada, while certain Google services may process limited technical data in the United States. By using our Website, you acknowledge that your information may be transferred to and processed in these jurisdictions, which may have data-protection laws that differ from those in Alberta or Canada.

8. Data Retention

We retain information only as long as necessary to fulfil the purposes for which it was collected, or as required by professional standards or law:

• Inquiry form submissions: retained for up to 12 months, then permanently deleted.

• Personal health records (held in Jane App): retained for at least ten (10) years following the date of the last treatment, in accordance with NHPC Standards of Practice and consistent with the principles of Alberta’s Health Information Act.

• Web server logs: retained for up to 90 days for security and diagnostic purposes.

9. Security Safeguards

We use commercially reasonable physical, technical, and administrative safeguards to protect your personal information against unauthorized access, disclosure, alteration, or destruction. These include:

  • Transport Layer Security (HTTPS/TLS) on all Website traffic;
  • Encrypted database backups managed by our hosting provider;
  • Strong, unique credentials and two-factor authentication on administrative accounts;
  • Restricted access to personal health information through Jane App’s role-based permissions;
  • Regular software updates and security patches.

Despite these measures, no system can be guaranteed completely secure. In the event of a privacy breach, we will follow the notification procedures required by PIPEDA and PIPA, including notifying affected individuals and the relevant Information and Privacy Commissioner where required by law.

10. Your Rights

Under PIPEDA and Alberta’s PIPA, you have the right to:

  • Access: request a copy of the personal information we hold about you;
  • Correction: request correction of inaccurate or incomplete information;
  • Withdrawal of consent: withdraw your consent to our continued collection, use, or disclosure of your personal information at any time, subject to legal or contractual restrictions;
  • Complaint: lodge a complaint with us or with the relevant regulator (see Section 14).

11. Children’s Privacy

Our Website and services are not directed to children under the age of 16. We do not knowingly collect personal information from children. Where massage therapy services are provided to a minor, a parent or legal guardian must provide informed consent in accordance with NHPC standards.
